The Scheduler is responsible for coordinating and assigning caregivers to client cases based on availability, qualifications, location, and level of care required. This role is crucial in ensuring that clients receive timely and appropriate care while maintaining compliance with agency protocols and labor standards. The Scheduler will maintain daily communication with both clients and staff, serving as a liaison between nursing staff, field caregivers, and administrative personnel.

Location: Morganton, NC 

Essential Duties and Responsibilities

Scheduling and Staffing Coordination

  • Maintain and update the Client Needs List daily and distribute updates immediately to the operations team.
  • Receive new client referrals from nursing staff and input relevant data into our home care platform.
  • Contact clients to determine their preferred schedule and desired caregiver hours.
  • Match appropriate caregivers to client schedules, prioritizing internal part-time employees for open shifts to reduce overtime.
  • Assign caregivers based on the Level of Care (LOC)
  • Utilize our home care platform Group Messaging system to notify qualified caregivers of new cases and available shifts based on LOC.

Communication and Coordination

  • Maintain consistent communication with nursing staff, caregivers, operations manager, and clients regarding schedules, changes, and confirmations.
  • Provide professional customer service to clients and staff, including resolving scheduling conflicts or last-minute changes with urgency and empathy.
    Monitor caregiver availability, call-ins, and shift cancellations to ensure schedule coverage is maintained at all times.
  • Monitor clients’ conditions and report changes or concerns to the supervising RN and other members of the care team.

Documentation and Compliance

  • Document scheduling updates and caregiver responses in our home care platform promptly.
  • Track and report open shifts and scheduled hours weekly.
  • Maintain confidentiality of client and caregiver information in compliance with HIPAA and agency standards.

Operations Support

  • Participate in team meetings and contribute to process improvement discussions related to scheduling and caregiver management.
  • Support the office team with clerical tasks and data entry related to scheduling as needed.
  • Assist in onboarding caregivers by confirming availability and preferred working hours.

Qualifications and Experience

Education and Experience

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Minimum of 1 year experience in scheduling, dispatch, or healthcare operations required; home health care scheduling strongly preferred.
  • Proficiency in scheduling software platforms; experience with our home care platform is a strong plus.

Skills

  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and remain calm under pressure.
  • Comfortable working with diverse teams and handling confidential information.
  • Basic understanding of caregiver certifications (CNA, PCA, IHA) and service types in home care.

Working Conditions

  • This position is primarily office-based with occasional remote responsibilities as approved.
  • Standard business hours apply, but flexibility is required to manage emergency staffing needs, including occasional early mornings, evenings, or weekends.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds occasionally for file or supply management.
